March Meeting Minutes

The Orchards Homeowner’s Association
March 9th, 2016

    The Meeting was called to order at 7:44pm by Secretary Cassandra Day. In attendance were President, Tom Neubauer; Secretary, Cassandra Day; Treasurer, Denise Rieckmann and ARC Liaison, Ashley Smith.

Treasurer’s Report:
·       There was an error in getting the new debit cards issued to our President, Vice President and Treasurer – they should arrive by the 15th of the March. 
         Most dues have been paid though there are still 13 homes we have had no communication from. If we don't hear anything by April, we will send them to collections. 
         Taxes were completed by Denise, looked over by previous Treasurer Cassandra and sent in 3/08/17. The total amount owed to the IRS was 127.64.
         Taxes on our properties were not properly paid last year – we are paying now for the total amount of $391.87 for both properties.
        Audit was completed on 3/7/17 by Denise, Cassandra and community member Jane Button. There were no discrepancies found.
·        The proposed bills for March 2017 are as follows – City of Cheney-$103.28, Neighborhood Lawn and Tree-$5,962.29, and Annual Deposit Box Dues- $45.00. Cassie motioned that we pay them and Tom seconded. Unanimously carried. 


New Business
• Tom went and got quotes around town for Insurance. To stay with Philadelphia, the annual cost is $1,735. State Farm came in at the best cost of a quoted $1,400 for the same coverage. Plus we would have a local agent. Tom voted we switch to State Farm, Denise second, unanimously carried.
• Discussed snow removal and other Bylaws that may no longer work for the neighborhood and agreed to address in September and bring proposed changes to all homeowners for a vote once we can go through theas a board this fall.
• Talked about organization of emails. Main inbox seems to be getting clogged. Unanimously agreed that all Treasury emails, once forwarded to the new Treasurer address, be deleted from the main inbox to avoid confusion or a build up in the main inbox.
• Discussed the possibility of moving the Mailboxes from the entrance at Silverthorn. It poses a safety hazard as it is a blind corner. Also discussed putting a street light next to the mailboxes to make them safer. Tom is going to investigate and get back to us at the next meeting. 

Tom moved to adjourn meeting at 8:42pm. Cassie seconded, passed unanimously.
