Dear Orchards Community, October 2020
We NEED new members for 2021! Unfortunately, the current team has served their time and/or positions were lost along the way this year. Having an HOA ensures that our neighborhood stays clean, welcoming, and safe. When The Board is comprised of local Orchards members, issues can be handled right away and every member has a voice in the community.
If no Orchards members volunteer, then unfortunately the community would have to pay for outside representation. This could lead to raised dues, unresolved issues, and maintenance not staying up to date in a timely fashion.
The time commitment is reasonable. There is a monthly meeting, ranging from 20-45 minutes and various duty commitments that vary in length. Current members would assist new members with the transition and provide support when needed.
If you wish to be a board member, please read the description of the positions given below and send us your self-nomination along with your contact information by 12/31. You may run for only one board position and, if not elected, must wait until the next year to apply for another, if one is available. If more than one person is nominated for the position, a postage paid, addressed placard with the nominees and their information about the position will be mailed out for property owners to cast their votes.
Voting will take place at the annual meeting: To be determined
A bonus is that Orchards members that step up and volunteer get their yearly dues waived! This would be a great chance to give back to the community and save some money for 2021!
Current needed positions are:
Secretary. The secretary shall keep accurate minutes of all meetings; shall attend to the giving and serving of all notices of the corporation; shall have custody of all the original records, papers, files and books of the corporation (except books of account and valuable papers properly in the custody of the treasurer); shall attest all instruments in writing executed in the name of the corporation and requiring the secretary’s signature; shall obtain and have
available at all times the names and addresses of the members of the Architectural Committee, and shall provide said information to any member upon their written or oral request; and, in general, shall perform all the duties incident to the office of secretary and such other duties as the president and/or Board of Directors shall designate.
Treasurer. The treasurer shall receive and be accountable for all funds belonging to the Association; pay all obligations incurred by the Association when payment is authorized by the Board of Directors; maintain bank accounts and depositories designated by the Association; and render periodic financial reports; cause, if requested by Owners holding two-thirds (2/3) of the voting power of the Association, an audit of the Association books to be made by a certified public accountant at the completion of a fiscal year, the cost of which will be assessed equally among all members. All checks, drafts, notes or other obligations for the payment of money shall be signed by the treasurer and/or such other officer as designated by the Board of Directors.
Architectural Liaison: Responsible for distribution and evaluation of approval forms for any addition or change to the residential property located within the HOA. Approves or denies additions and changes based on associated regulations and bylaws. Additional duties related to maintaining the common areas within the HOA--such as contacting contracted maintenance personnel--may be assigned by the board of directors.
