March Annual Meeting Minutes


The Orchards Annual Meeting
March 2nd, 2019
Called to order at 10:01 am

There were 8 homeowners present and 4 current members of the board were present.

Budget Proposal
Philip Sinelli provided the annual report (Document will be added***) and discussed a number of points on the proposed budget for 2019.
A motion to approve the proposed budget by Mr. Flowerdew was called, seconded by Ms. Kienbaum. All were in favor, motion carried.

Monthly Meetings
The Board informed members that the monthly meetings will continue to be held at 126 Pinecrest Ln. The hope is to set it for the second Monday of every month; however, this is subject to change depending on availability.

Board Member Vote
The position of President and Vice President was voted on. The position of Treasurer, Secretary, and ARC was unopposed. Votes were counted from mail-in ballots and in-person member votes. The result of the vote was as follows:
President: Charlene Rosenau
Vice President: Rachel Blom
Treasurer: Philip Sinelli
Secretary: Ashley Watts
ARC: Brian Crow

Open Floor
1.      Towing was discussed. 1 car was towed after parking violation and one owner towed a vehicle by their own accord. The Board was able to secure a 2019 towing contract with Roger’s Towing.
2.      Neighborhood Lawn and Tree will be asked to better clear the sidewalk in front of the mailbox on Silverthorn

Motion to adjourn meeting by Mr. Flowerdew, seconded by Mr. Neubaur. All in favor, motion carried.

Treasurer Report 
25 homes left for dues
Motion by Philip to put $8,000 excess funds into short-term, 36-month CD to go towards the road reserve. A shorter CD term means that the funds will gain more interest and less penalty for pulling any funds out early. Seconded by Rachel, all in favor, motion carried.

Towing
Roger’s Towing needs a contract written up when they are less busy. This will be handled by Rachel.
Snow Plowing
1.      Overflow parking has been discussed with NLT on where snow should and should not go
2.      Snow will be moved to drainage ditch/overflow parking. Motion by Philip to hire professional contractor to assist with this for an estimated $700. Seconded by Ashley, all in favor. Motion carried.

January 2019 Meeting Minutes

January's 2019 annual meeting minutes have been voided after Robert's Rules of Order had failed to be implemented. Prior to the meeting, board members approved regular bills and below will be the treasurer's report. The annual meeting minutes will be posted under March after the board redid the meeting following proper procedure.
