The Orchards HOA Meeting Minutes

September meeting

Old Business:

The Blom boys were hired to collect garbage around The Orchards. Paying them was significantly less than paying our usual person.
Trees and bushes at the entrance off of Betz were trimmed so people can safely walk on the sidewalks now.  A bent fire lane sign pole on Whispering Oaks was straightened.
The Board decided to push repainting the fire lanes to spring.  The Board will need to call and confirm with the fire department what, if any, the requirements are for repainting the curbs and adding a red stripe on the streets that do not have a “No Parking: Fire Lane” sign. 
Tom has postponed moving the mailboxes at this time. 
Rachel did find a local painter and a local concrete worker willing to take on small jobs.

New Business:

Tom motioned to have Janet Prendergast established as the new treasurer. Motion seconded by Rachel. Janet will now be the official treasurer for The Orchards HOA. She will need to be added to the accounts by the end of the month.
Ashley is in charge of sending a letter to the City of Cheney to turn off the water due to the approaching winter months. Rachel has arranged for Auto Rain to blow out the sprinklers Oct. 13^th.

A trailer parked on Thistle Creek was given violation notices from non-board members of The Orchards. Official violations have been put onto the vehicle by a member of the board to be moved, as per the bylaws.  A violation notice was also given for a trailer parked in a driveway on Meadow Glen.

Our last Yard of the Month for the year goes to 3216 Meadow Glen!

August Meeting Minutes

8/8/17

Called to order: 7 pm

Old Business
Current members removed old members from the STCU and Banner Bank accounts.
Members are still trying to find someone to paint/repaint the fire lanes and a concrete person to repair the broken pole off of Meadow Glenn road.
The old wood fence at the entrance of the neighborhood has been replaced w/new vinyl fencing.
The board still needs an official secretary and official treasurer.
Ashley will be the temporary secretary and Tom will be the temporary treasurer.

New Business
Tom gathered estimates and information on moving the mailbox 5 feet over so it is not on the corner. Tom motioned to approve and Ashley seconded. The reason for the mailbox move is to prevent cars from having to pass too closely.
The board is going to use Auto Rain Contracting instead of Dew Drops for needs in regards to sprinklers because quality of work was not as desired.
The board also voted on Yard of the Month. Congratulations to 3106 Meadowglenn Lane.
Tom will sort out Orchards members who have yet to pay their yearly dues, who needs to be sent to collections and what company the Board uses for collections.

July Meeting Minutes

July 11, 2017

Old Business:

A few bills we went over in June were already taken care of in April and May.

Still looking for a Treasurer and Secretary. A renter can step in as a board member, but they must be current on dues, fees and fines.

New Business

Voted on this month’s yard of the month…113 Greenbrier Lane

Lawn guy has left the water off and charging The Orchards for mowing off of Meadow Glenn Lane

Mandatory no lawn watering is still in effect and the City of Cheney deals with/handles the citations. Orchards HOA is not responsible for replacing dead lawns since the water issues are with Cheney’s water supply.

Updating files on who is maintaining properties/ property managers for the rental homes to send notices and fines to the correct people

Picked up file boxes of old Orchards HOA files, need to scan and digitize the files.

All 4 Fencing guy did not show up for the job for June 16^th to update fencing at The Orchards Entrance…Tom will contact him and see if he will come back out.

Tom is updating the bank account to remove old members’ names.

June Meeting Minutes

The Orchards Home Owners Association Meeting

Called to Order: 7:01 pm

Old Business

There are still two open Board Member Positions-Treasurer and Secretary. Denise Reichman is stepping down & Tom will temporarily take over Treasurer duties.  Denise brought all of the files and supplies the treasurer is responsible for. She reviewed her system with the current members so they understood the color codes and order payments are recorded. Yellow highlight means that there needs to be an address updated and orange highlight means The Orchards member is making payments on their HOA dues. The former secretary, Cassie Day has also resigned & Ashley Smith will temporarily take over Secretary duties. In the previous meeting the board set out to find professional painters to update the fire lane coloring and fill a hole off of Meadow Glenn Ln with concrete. Ashley attempted to contact those she knew in both industries, however, because it is a busy season no contractors were taking on small jobs.

New Business

Hosting an Orchards BBQ was discussed, however, not enough interest was generated last year to justify, so this year no BBQ will take place. The Board also discussed the rules and regulations on Orchards members parking their RVs on their properties. They concluded that the Orchards guidelines, which states that RVs need to be behind a fence, can be changed to allowing RVs on the side of the house, so long as it does not intrude on their neighbor or reach the sidewalk.
